Stall Booking Information & Prices


 Your participation is entirely what this day is about: promoting volunteering in the community, and this year we have extended this event to attract a wider audience.

There are seven zones: charity & small business stalls,  fun dog show, children’s activities, wellbeing hub, Rotary Point including hospitality and organisations wishing to be centrally positioned, food & drink adjaecent to music & entertainment.

We are delighted to have a wide range of food and drink companies booking in, reflecting a worldwide range of food and drink for our general public attending.

  • Catering, transit size van or car on site, LARGE: 7m x 4m, 28 sqm: £105.00
  • Catering, large scale including up to two vehicles, tables, chairs, awning etc, EXTRA LARGE: 15m x 4m, 60sqm: £300.00

Organisations signing up for this zone, which includes charities, not-for-profit, social enterprises, and small businesses, must be dog centered.

This is likely to be a very busy zone based on last year's success! You will need to be sure that at least one person in your team has a DBS check and that you have sent us this information. Activities we are seeking include a bouncy castle, games,face painting and lots more! If you have a child-focussed business this will be a wonderful event for you!

The event provides a truly enjoyable day for those attending. Nothing draws more people in than live entertainment with thousands expected to atend the event. There are two arenas, with some entertainers wondering through the crowds.

This zone will showcase the wonderful work that we do in Rotary. It will also host sponsors and hospitality and organisations wishing to be centrally positioned, such as St John's Ambulance. We wlecome organisations wishing to join us in Rotary Point.

The Small Print

  • You will need to bring all your own equipment (including a gazebo) with you.
  • With the exception of the SMALL craft & small business pitches, ALL BOOKINGS are required to have a gazebo. The dimensions list the length of the pitch by the depth of the pitch. You will only be able to select one pitch option per booking.
  • If you are booking more than one stall space, please book each stall separately with a new form.
  • Please note, that you will need to have Public Liability Insurance valid to have a stall at this event and will need to send us a copy of it. If you need it, day public liability insurance is very affordable.
  • We will initially confirm your place including sending you the joining instructions and send you an invoice. 
  • When you complete this form you will receive a copy of it by email. You can amend the form after you have submitted it, but if you do, please send us an email at festival@soireerotaryclub.com to let us know, as this might change something in the planning.           
     

Children's Activities

If you are booking into this zone you'll need to be thinking about safeguarding, as keeping our children and young people safe is a high priority for this event. We require every stall holder in the children's zone to have one person present who has a valid DBS check, and we will need sight of this before the day. Please send the relevant information to festival@soireerotaryclub.com using your stall number at the reference.

 

 

Social Media and Publicity

Publicity through a mulitude of formats is our life blood and your too. When you sign up with us for the event we will add you to our social media pages and highlight your involvement over the next few months. We ask that you add us to your social medias and tags and like us - thank you. If you were at our event last year please feel free to tell the world what a great event it was!

Once you have booked for the ROTARY FAMILY FESTIVAL supporting The BIG HELP OUT 2026 - this is what to expect:

Once we receive your form we will invoice you and send you the Joining instructions which will include the payment details. 

CANCELLATION POLICY
 

  • If you need to cancel, this must be done in writing to festival@soireerotaryclub.com
  • Once your booking has been accepted and you have been invoiced we will expect your organisation to be attending and your booking is a legal contract. 
  • We will only cancel the event should the weather be deemed too severe to continue. We will have a better understanding of the forecast 3 days before and will communicate with you should the event be cancelled. The event organisers reserve the right to cancel the event under these circumstances. No refunds will be made.
  • If you cancel less than 5 days before the start time of day of the event, you will not be refunded. If you cancel earlier than this we will retain a £10.00 administration fee.
